Automating guest messages: the method without magic promises
Short-term rentals, concierge services, managing several properties: guest messaging never really stops. Here is what an AI actually prepares in this business — drafts, follow-ups, cleaning tracking — and why it will never read Airbnb or Booking directly.
The messaging that eats the evenings
The business has one particularity: guests write when they are available, not when you are. 10:30 pm, a guest asks whether a midnight check-in is possible. Sunday morning, a cancellation to handle before Monday. An early departure to pass on to cleaning, keys, the deposit.
The core problem is not the volume — it is repetition under pressure. 80% of incoming messages are situations already handled ten times. But each time, they are rewritten by hand, between two visits, often late. And outgoing follow-ups — concierge quotes sent and sleeping, owners to get back to — come after the emergencies. Always.
What gets prepared, every week
In practice, an AUTOPILOT installation in a concierge or rental business produces three families of drafts, in a dedicated folder:
- standard replies to recurring situations — late check-in, cancellation, early departure, the questions that come back every week. Each draft is in the house tone, with the details of the relevant booking already included;
- concierge quote follow-ups — what was sent and has had no reply for too long, prepared, dated, ready to go;
- cleaning tracking between two departures — the turnover sheet prepared, the slot identified, the reminder ready if an early departure or a delay breaks the schedule
The basic principle: by default, the AI prepares and a human approves, in one click. Full delegation — sending without human approval — is earned after 10 approvals in a row with no edits, on the same type of task, and it stays revocable in one word. Anything involving money or a first contact with a new recipient always stays human.
What the AI does not do — and why it matters
Let's be clear: the AI does not read Airbnb, Booking or the other platforms directly. They are closed environments, and no direct connection exists from the outside. A tool that promises otherwise is selling a fragile connector that will break at the platform's first change.
The method that holds over time: what arrives on these channels is copied over — a screenshot or an export — and prepared as a draft internally. Two short human gestures, which keep control where it belongs. In the same way, the AI replaces neither the channel manager nor the schedule: it works in the folder, with the files that the existing tools can output.
The same method, proven elsewhere
This is not a theoretical promise: the same installation has been running for several weeks in an independent car garage — 3 people, about 2 hours of admin in the evening before, and an activity report that arrives at the chosen rhythm with unpaid invoices first and reminders drafted, never sent without approval. It is told with no invented gain figure: what changed, according to the client, is that the Sunday-evening to-do list disappeared and the reminders finally go out.
