AI for tradespeople and garages: the evening admin, finally handled
Plumber, electrician, carpenter, mason, locksmith, cobbler, mechanic, bike or phone repairer: the day belongs to the job, the admin waits for the evening. Here is what AI assistants prepare, and what they will never do.
Prerequisite: a computer and about 3 hours of admin per week
A tradesperson's daily routine
What waits for a tradesperson back from the job:
- quotes — to write, to send, to chase when they go quiet;
- follow-ups — clients with no reply or no payment, late suppliers;
- orders — parts and materials: what is missing for a given job, what has not arrived;
- the schedule — slots to confirm, an urgent call-out that breaks everything;
- unpaid invoices — what has been invoiced and not yet collected, the hardest to bring up
Nothing difficult — just repetition, and hours taken from the evening
Plumber, electrician, heating engineer: the call-out without the admin that follows
A plumber's or electrician's day: one urgent job after another — the leak, the water heater, the circuit breaker. Every call-out creates admin: a quote to price, an invoice to issue, a part to order. AUTOPILOT drafts quotes from the job sheets, the parts orders to check, the slots to confirm. What it does not do: price the job instead of the tradesperson — the draft waits for approval.
Carpenter, painter, mason: the job follows its quote
On a building site lasting several weeks, the admin is a thread to hold: deposits, progress statements, materials to restock at the right time. AUTOPILOT prepares deposit requests and their letters, draft progress statements, restocking alerts and quote follow-ups.
What the AI does not do: it does not plug into the site-management software — a deeper integration is studied during the Audit call, case by case.
Unpaid invoices: from the first reminder to the payment order
The topic comes up in every conversation with tradespeople: when to send a reminder, how many times, and when to go legal. The sequence that holds up, applied in AUTOPILOT:
- once the due date has passed — a first short, factual reminder, drafted in the professional's tone;
- with no reply, spaced and tracked reminders — dates, amounts, exchanges: the file is ready if it has to escalate;
- after two or three reminders with no reply — a formal notice, more formal, drafted;
- as a last resort — the payment order procedure (commercial court in France, commandement de payer in Switzerland) for liquid and due debts: a simple procedure, to be checked by a legal professional before filing
Two safeguards are worth more than ten reminders: a deposit with the order, and payment terms announced before starting — late-payment penalties included, applicable depending on the country and if they appear on the invoice. The AI prepares, reminds and tracks; nothing goes out without approval, and legal matters stay with an expert, not with software.
Locksmith, cobbler and key services: small jobs, real admin
A locksmith on the road or a cobbler in a shop: small jobs, supplies to keep — keys, leather, soles — and hours with no room for the binder. AUTOPILOT prepares job tracking, draft replies, supplies to order and quote follow-ups.
What the AI does not do: it never writes the first message to a new client without approval
AI for a garage and body shop
Independent garage, with or without a body shop: the vehicles come first; the admin waits. Under the lift or at the counter, the same list comes back every week: quotes and invoices to prepare and chase, workshop appointments to fit together, vehicle service dates to remind, supplier orders to check. Nothing difficult — but the workshop has no office, and what is not prepared in the evening comes back under the lift the next day.
AUTOPILOT installs 2 AI assistants that prepare the week's page at the chosen rhythm: draft quotes priced from templates and history, the workshop schedule with slots to fit together and parts to order before the vehicle arrives, unpaid invoices first, and client reminders in the garage's tone. The AI prepares: you approve in one click, or you delegate once reliability is proven — delegation stays revocable in one word. If business software is used, the AI works around it (emails, documents, reminders, schedule): connecting to that software is never promised on a web page, it is studied case by case during the Audit call.
Quotes and invoices: ready to approve
Day to day: a quote to price, an invoice to chase, a credit note to prepare. The AI drafts from the templates in the folder, spots quotes left unanswered and prepares reminders for pending invoices. The rate, the quote line and the discount stay approved by the professional — the AI never sends a quote or an invoice without approval and never changes an amount.
Workshop appointments and job scheduling
The AI prepares slot proposals, draft appointment reminders and the week's list of jobs, sorted by urgency and parts available. The schedule stays the workshop's: it prepares, the workshop manager decides. It never promises a lead time to a client and never moves an approved appointment without agreement.
Vehicle follow-up: the service dates that pay
Belts, tyres, services, roadworthiness tests: the AI keeps track of the dates already known in the file and drafts client reminders at the right moment. A client reminded at the right moment means a planned job rather than a breakdown repaired elsewhere. It never diagnoses and never recommends a repair.
Suppliers and parts
The AI drafts orders from thresholds and history, flags price differences and prepares supplier reminders. For body work, it keeps the case files — photos, quotes, draft insurance reminders. It never places an order on its own and never chooses a part instead of the professional.
Bike, phone and small appliance repair: the workshop on track
Bike, phone or small appliance repairer: devices coming in and out all the time, parts to order, clients to notify when the repair is ready. AUTOPILOT prepares tracking of devices waiting for a part, draft "your repair is ready" messages, grouped orders and quote follow-ups.
What the AI does not do: it publishes nothing to clients without approval
What the AI will not do
Three limits, stated before any commitment:
- it does not plug into the business software. It reads the files the tools can already output; the rest is studied during the Audit call, never promised in advance;
- it sends nothing without approval. By default, the AI prepares and approval takes one click; full delegation is earned after 10 approvals in a row with no edits, revocable in one word;
- it decides nothing unexpected. Anything outside the connected folder waits for approval
A proven method, not a concept
Take the typical case of a 3-person garage: about two hours of admin in the evening — quotes, reminders, orders, invoices. In an installation of this kind, the activity report arrives in the morning: unpaid invoices first, reminders drafted, never sent without approval. The only gesture asked: a software export dropped into the connected folder, two minutes at the chosen rhythm.
The evening to-do list leaves the owner's head, the reminders finally go out. No gain figure is claimed — it would be invented.
An installation that comes to you
This page is for small businesses across the French-speaking world — France, Belgium, Switzerland, Luxembourg, French-speaking Canada. An on-site visit is possible depending on the area, otherwise installation is done remotely — same method, same rules. Travel is charged extra, on quote, stated before you decide. The target: independents and very small businesses (about 1 to 20 people) — not franchises or integrated networks, whose tools and decisions come from head office.
Depending on the country, a public grant may fund part of the project: eligibility is checked together during the Audit.
