AI for firms and professional practices: the firm's admin
Notary, lawyer, chartered accountant, architect, surveyor, independent estate agent, insurance broker or agent: the client file comes first — and the firm's admin waits : unpaid fees, deadlines, engagement letters, calendar.
Prerequisite: a computer and about 3 hours of admin per week
The scope, stated before anything else
First, what the AI will never do — the scope is non-negotiable:
- admin only — unpaid fees, deadlines, engagement letters, calendar, reminders: the full list of the scope;
- never the content of client files — professional secrecy is absolute: no documents, no confidential data, no sensitive correspondence;
- neutral files only — schedules, tracking tables, timetables: that is what the AI works on;
- no connection to the firm's software promised in advance — the rest is studied during the Audit call, case by case
The family's day-to-day
Ask a notary, a lawyer, an architect or an independent estate agent what waits for them at the start of the week:
- unpaid fees — invoices issued with no payment, reminders never sent;
- deadlines — filings, renewals, cut-off dates for administrative files;
- engagement letters — to get signed, to chase, to update;
- the calendar — appointments to confirm, slots to consolidate, trips to string together
None of this is difficult — it's the repetition that wears you out. That's where AUTOPILOT comes in: 2 AI assistants connected to the working folder deliver a single page every week — unpaid invoices first, reminders drafted, deadlines, engagement letters, the day's appointments. The principle: by default, the AI prepares and approval takes one click ; delegation is earned after 10 approvals in a row with no edits, and stays revocable in one word.
Chartered accountants
In an accounting firm: client deadlines to enforce, document reminders, standard letters, year-end schedule. The AI prepares draft reminders and the deadline table — never an accounting document or client data. A dedicated page exists for chartered accountants, from the referral angle: see the chartered accountants page.
Notaries and lawyers
In a notary's office or law firm: appointments, administrative file deadlines, reminders, fees. The AI prepares confirmations, deadline reminders and draft follow-ups. Scope reminder: never the content of files — no documents, no confidential data, no sensitive correspondence.
Architects and surveyors
In a project-management or surveying firm: quotes to follow up, phase fees, administrative site schedules, unpaid invoices. The AI prepares reminders and tracking tables from neutral files. Drawings and technical documents stay out of reach — only schedules and tracking tables are prepared.
Independent estate agents
As an independent: viewings to schedule, administrative mandates to follow, reminders, sale or rental fees. The AI prepares viewing confirmations, reminders and draft follow-ups, and a table of current mandates. No personal data from the files — neutral files are enough for the admin.
Insurance brokers and agents
In an independent firm or general agency: contract renewal dates, administrative reminders, appointments, the portfolio to follow. The AI prepares a renewal timetable and draft reminders. Never the content of contracts or policyholders' data — professional secrecy applies as everywhere else.
Will AI replace the chartered accountant? (an honest answer)
No — and the distinction deserves to be stated plainly. What cannot be replaced: professional judgement, advice, reading a situation, the client relationship, the responsibility attached to the figures. What is already going: filing, preparing reminders, checking documents, standard letters, monitoring deadlines — the repetitive part that takes the evenings.
The same logic applies to staff: the tool does not remove a job, it moves the hours toward the part that really bills — advice and the relationship. At Evol-AI, the AI does not plug into business software by default and sends nothing without approval: it prepares, the professional decides and signs.
What the AI will not do
Three limits, for the whole family:
- it does not plug into business software — it works from the existing files; the rest is settled during the Audit call, never promised in advance;
- it never replies to clients without approval — drafts are prepared, nothing goes out without approval;
- it never touches professional secrecy — no client file content, nothing without human approval
A proven method, not a concept
This method was not invented for these professions. Take the typical case of a 3-person small business: 2 hours of admin every evening — quotes, reminders, orders, invoices. Since then, at the chosen rhythm, the page arrives: unpaid invoices first, reminders drafted, never sent without approval.
What changed: the evening to-do list left the head of the person who carried it, and the reminders finally go out — with no gain figure claimed.
In a notary's office, an architecture firm, an independent agency, only the files change. The method is the same — the hands stay in charge.
An installation that comes to you
This page is for firms and small practices across the French-speaking world — France, Belgium, Switzerland, Luxembourg, French-speaking Canada. An on-site visit is possible depending on the area, otherwise installation is done remotely — same method, same rules. Any travel is charged extra, on quote, stated before you decide. The target: independents and firms of 1 to 20 people — not franchises or integrated networks, where tools and decisions come from head office.
Depending on your country, a public grant may fund part of the project: we check your eligibility together during the Audit.
