AI for retail: the shop stays in charge
A retail shop — fashion, bookshop, jeweller, grocery: the day is made of opening, advising, taking payments; the admin waits for the evening. Here is what an AI prepares, and what it will never do.
Prerequisite: a computer and about 3 hours of admin per week
A retail shop's daily routine
Ask a shopkeeper what waits behind the shop: always the same list
- restocking — what is running low, the missing sizes;
- suppliers — orders to prepare, quotes to chase, invoices to cross-check;
- sales and promotions — the dates, the prices to display;
- the unpaid invoice — the invoice with no payment;
- the online shop — product pages to create, prices to correct
Nothing difficult — but repetition wears you out, and today's backlog comes back in peak season
What the AI prepares: the week's page
AUTOPILOT installs 2 AI assistants connected to the workbook — the one for sales and invoices. Every week, a single page arrives:
- unpaid invoices first — who owes what, since when;
- reminders drafted — one per case, in the house tone;
- restocking — with a draft supplier order;
- the sales calendar — dates and promotional sheets drafted;
- the online shop — product pages and prices updated from supplier documents
The principle: by default, the AI prepares and approval takes one click. After 10 approvals in a row with no edits on the same type of task, delegation becomes possible — revocable in one word.
Clothing, shoes and leather goods
Day to day: missing sizes, end-of-collection stock to clear, sale price tagging. AUTOPILOT prepares the list of items to restock, draft orders and the calendar of operations. It does not plug into the till or stock management: that is studied during the Audit call, case by case.
Florist and home decor
Day to day: wholesaler orders, wedding quotes to follow up, vase stock to check. AUTOPILOT prepares draft orders, quote tracking and reminders. The first message to a new client stays human: the shop signs the first impression.
Bookshop, stationery and toys
Day to day: orders to publishers, returns to put together, new titles to list. AUTOPILOT prepares draft orders, new titles to list online and customer order tracking. It never decides on purchases or returns: the range is approved by a human.
Jeweller
Day to day: supplier orders, repair drop-offs, made-to-measure quotes. AUTOPILOT keeps track of drop-offs and prepares draft reminders. As with everything involving valuables, nothing moves without approval.
Tobacco & newsagent
Day to day: press restocking, returns to declare, unpaid invoices to follow. AUTOPILOT prepares restocking and draft reminders for unpaid invoices. It does not plug into the terminal — nothing goes out without approval.
Grocery and convenience store
Day to day: almost daily restocking, expiry dates to watch, promotions to set up. AUTOPILOT prepares the restocking list, draft orders and the promotions calendar. Expiry dates and food safety are approved by a human.
AI for a pharmacy — the admin, outside the files
Independent pharmacy: the counter and dispensing come first; the admin waits. Before opening, the same list comes back every week: supplier orders and restocking to check, stock to monitor, reminders and collections, calendar and documents. Nothing difficult — but the pharmacy has no back office, and what is not tracked comes back in the middle of the day.
AUTOPILOT installs 2 AI assistants that prepare the week's page at the chosen rhythm: orders to check, drafted from the workbook's thresholds, stock alerts (likely shortages, expiry dates to watch) dated and sorted, reminders in the practice's tone — never sent without approval — and the week's calendar. The AI prepares: you approve in one click, or you delegate once reliability is proven.
Supplier orders and restocking
The AI drafts orders from the thresholds and history dropped into the folder, flags delivery discrepancies and prepares supplier reminders. Quantities ordered stay approved by the pharmacist — the purchasing decision is not delegated. It never places an order on its own and never touches medicine-dispensing systems.
Shortages and expiry dates: the AI flags, the pharmacist decides
From the files dropped into the folder, the AI spots the dates to watch, sorts alerts by urgency and prepares check lists. The checking gesture — going to look at the stock, confirming the date — stays human; the pharmacist decides. It never decides to discard anything, never decides to restock.
Reminders, collections and practice admin
The AI prepares payment schedules, reminders in the practice's tone and tracking of replies — each draft comes with the file at hand (invoices, dates, exchanges) so the reminder is handled in a minute. It also prepares supplier appointment reminders, documents to sign and draft administrative replies. It never disputes a payment, never writes the first message to a new recipient without approval, and never communicates with patients.
What the AI will never do in a pharmacy: it never reads the content of files, never handles health data, and never touches dispensing — its scope is strictly administrative and commercial.
What the AI will not do
Three limits, before any commitment:
- it does not plug into the business software. It works from the files the tools can already output; the rest is studied during the Audit call;
- it does not reply to customers instead of the shopkeeper. Drafts are prepared, never published without approval;
- it never touches safety. Sensitive data, valuables, food: nothing is decided without human approval
A proven method, not a concept
Take the typical case of a 3-person small business, a shop with an online store — 2 hours of admin in the evening: quotes, reminders, orders. Since installation, the activity report arrives at the chosen rhythm: unpaid invoices first, reminders drafted, nothing sent without approval.
What changes: the evening to-do list leaves the manager's head, and the reminders go out. No gain figure is promised. From one shop to another, only the files change; the method is the same.
An installation that comes to you
AUTOPILOT is for small businesses on the ground, often with no one dedicated to admin, across the French-speaking world: France, Belgium, Switzerland, Luxembourg, French-speaking Canada. An on-site visit is possible depending on the area, otherwise installation is done remotely — same method, same rules. Travel is charged extra, on quote, stated before you decide. The target: independents and very small businesses (about 1 to 20 people) — not franchises or integrated networks, whose tools and decisions come from head office.
Depending on the country, a public grant may fund part of the project: eligibility is checked together during the Audit.
